These Terms of Use ("Terms") govern access to and use of the White & Gray Publishers website, author account area, manuscript submission system, editorial desk, peer-review workflows, payment services, newsletter features, and related publishing resources (collectively, the "Platform"). By accessing or using the Platform, you agree to these Terms.
If you do not agree with these Terms, you should not use the Platform or submit information through it.
1. About White & Gray Publishers
White & Gray Publishers provides academic publishing services, including journal information, manuscript submission, editorial screening, peer review, article processing charge administration, publication workflows, books information, and scholarly communication resources.
2. Eligibility and Account Registration
You may use public areas of the website without creating an account. Certain services, including manuscript submission, author dashboard access, reviewer assignments, editorial actions, and administrative functions, require a registered account.
When creating or using an account, you agree to:
- Provide accurate, current, and complete information.
- Keep your login credentials confidential.
- Use only your own account unless expressly authorized.
- Notify White & Gray Publishers promptly if you suspect unauthorized access.
- Accept responsibility for activity carried out through your account.
We may suspend, restrict, or terminate access where an account is used unlawfully, fraudulently, abusively, or in breach of these Terms, editorial policies, payment obligations, or platform security requirements.
3. Acceptable Use
You agree to use the Platform only for lawful scholarly, editorial, professional, and informational purposes. You must not:
- Submit false, misleading, fraudulent, defamatory, unlawful, or harmful information.
- Upload files containing malware, viruses, corrupted data, or malicious code.
- Attempt to bypass authentication, role-based permissions, payment controls, security verification, or access restrictions.
- Interfere with the operation, stability, security, or availability of the Platform.
- Scrape, harvest, or misuse personal information, email addresses, reviewer details, or unpublished manuscript data.
- Use the Platform to send spam, impersonate another person, or misrepresent institutional affiliation.
- Access manuscripts, peer-review records, editorial records, payment records, or administrative areas without authorization.
4. Manuscript Submission Responsibilities
Authors and submitting users are responsible for the accuracy, integrity, originality, and lawfulness of all submitted manuscripts, metadata, author details, files, images, tables, references, supplementary material, and declarations.
By submitting a manuscript, you confirm that:
- You are authorized to submit the work on behalf of all authors.
- The work is original or properly licensed and credited.
- The work does not infringe copyright, privacy, confidentiality, contractual, ethical, or third-party rights.
- All listed authors have made appropriate contributions and have approved the submission where required.
- Conflicts of interest, funding sources, ethical approvals, data availability, and related declarations are complete and accurate.
- The manuscript is not under prohibited duplicate submission or prior publication restrictions, unless clearly disclosed.
5. Editorial Screening and Peer Review
Submission does not guarantee acceptance, review, publication, indexing, or any particular editorial outcome. Manuscripts may undergo suitability screening, peer review, editing, copyediting, production checks, and publication review according to the relevant journal workflow.
White & Gray Publishers may reject, return, request revision, withdraw, correct, retract, or decline to publish a manuscript where editorial standards, ethical requirements, technical requirements, payment requirements, or publication policies are not satisfied.
6. Reviewer and Editor Responsibilities
Reviewers, editors, and editorial users must treat unpublished manuscripts, review assignments, reviewer identities, editorial notes, decisions, and related files as confidential. They must use accessed materials only for the assigned editorial purpose and must not disclose, copy, distribute, cite, or misuse unpublished work.
Reviewers and editors must declare relevant conflicts of interest and decline assignments where impartial review or editorial handling may be compromised.
7. Article Processing Charges and Payments
Some journal editions may require an article processing charge ("APC"). APC requirements, amounts, currency, waiver rules, and payment timing may vary by journal or edition.
Where APC applies, authors may be required to complete payment or obtain an approved waiver before the manuscript proceeds beyond the payment-controlled stage of the editorial workflow. Payment methods may include online payment through Flutterwave or bank deposit/transfer where available.
You agree that:
- Payment information, references, and uploaded proof must be accurate and legitimate.
- Bank transfer or deposit payments may require manual verification before editorial progression.
- Fees, waivers, refunds, and failed payments are handled according to the relevant journal, edition, invoice, or APC policy.
- White & Gray Publishers may delay or pause workflow progression until payment status is confirmed, waived, or marked not required.
8. Intellectual Property
The website design, platform interface, logos, text, graphics, software elements, editorial workflow structure, and other Platform materials are owned by or licensed to White & Gray Publishers unless otherwise stated.
Authors retain rights in their submitted work subject to applicable submission terms, journal policies, publishing agreements, copyright statements, open access licenses, and publication permissions. Publication of an article or book content may be subject to separate copyright and licensing terms.
You may not copy, reproduce, modify, distribute, sell, reverse engineer, or commercially exploit Platform materials except where expressly permitted by law, written agreement, open access license, or published policy.
9. Open Access and Published Content
Published content may be made available under journal-specific open access, copyright, or licensing arrangements. Readers, authors, librarians, and institutions should review the relevant article, journal, or policy page for applicable reuse rights, citation expectations, permissions, and restrictions.
Open access availability does not remove the obligation to cite sources properly, respect author rights, observe license terms, and avoid plagiarism, misrepresentation, or unauthorized commercial use.
10. Books, Calls, and Publishing Opportunities
Book proposals, edited volume proposals, calls for papers, calls for chapters, and other publishing opportunities may be announced through the Platform. Any proposal submission, acceptance for consideration, or editorial communication does not guarantee publication unless confirmed through a formal written agreement or publishing decision.
11. Newsletter and Communications
By subscribing to newsletters or updates, you agree to receive relevant publishing announcements, journal updates, calls for papers, book updates, and related scholarly communication. You may request removal from newsletter lists at any time.
Operational messages related to accounts, submissions, reviews, editorial decisions, payment notices, or security alerts may still be sent where necessary to provide the service.
12. Third-Party Services and Links
The Platform may link to or integrate third-party services such as payment gateways, indexing platforms, analytics tools, email services, security verification tools, institutional websites, journal resources, and external documents. We are not responsible for the content, policies, availability, or practices of third-party websites or services.
Use of third-party services may be subject to their own terms, privacy policies, fees, and security practices.
13. Privacy and Data Protection
Use of the Platform is also governed by our Privacy Policy, which explains how White & Gray Publishers collects, uses, stores, shares, and protects personal information. By using the Platform, you acknowledge that personal information may be processed as described in the Privacy Policy.
14. Availability and Changes to the Platform
We aim to keep the Platform available and reliable, but we do not guarantee uninterrupted, error-free, or secure access at all times. The Platform may be unavailable due to maintenance, updates, technical issues, hosting interruptions, security events, or circumstances beyond our control.
We may update, modify, suspend, replace, or discontinue any part of the Platform, workflow, feature, content, or service at any time.
15. Disclaimer
The Platform and its content are provided for academic publishing, informational, editorial, and administrative purposes. While we seek accuracy and professional standards, we do not guarantee that all website content is complete, current, error-free, or suitable for every purpose.
Nothing on the Platform should be treated as legal, financial, medical, or professional advice unless expressly stated in a formal document issued by an appropriately qualified professional.
16. Limitation of Liability
To the fullest extent permitted by law, White & Gray Publishers will not be liable for indirect, incidental, consequential, special, punitive, or exemplary losses arising from use of the Platform, inability to access the Platform, editorial decisions, publication delays, rejected submissions, payment delays, third-party services, data loss, or unauthorized account activity.
Nothing in these Terms excludes liability that cannot lawfully be excluded.
17. Indemnity
You agree to indemnify and hold White & Gray Publishers, its editors, reviewers, administrators, officers, contractors, and partners harmless from claims, losses, damages, liabilities, costs, and expenses arising from your breach of these Terms, misuse of the Platform, unlawful submissions, infringement of third-party rights, inaccurate declarations, payment misrepresentation, or violation of applicable laws or publishing ethics.
18. Suspension and Termination
We may suspend or terminate access to accounts, submissions, review assignments, administrative functions, or any Platform service where we reasonably believe there has been a breach of these Terms, a security risk, non-payment where payment is required, misuse, fraud, unlawful conduct, or violation of editorial or ethical standards.
19. Governing Law
These Terms are governed by the applicable laws of Uganda, unless a separate written agreement states otherwise. Disputes should first be raised with White & Gray Publishers for good-faith resolution. Where resolution is not possible, disputes may be handled by the competent courts or authorities with jurisdiction.
20. Changes to These Terms
We may update these Terms from time to time to reflect changes in our services, editorial workflows, payment systems, publishing policies, legal requirements, or operational practices. The updated version will be posted on this page with a revised "Last updated" date.
